We are looking for a proactive, highly organised Administrative Co-ordinator to provide comprehensive administrative support across our team. This is a key role that requires exceptional attention to detail, strong organisational skills, and the ability to manage multiple tasks while maintaining high levels of accuracy.
The successful candidate will play a central role in supporting contract administration, maintaining records and systems, coordinating communications, managing data and documentation, and ensuring key processes run smoothly. Working closely with internal teams, customers, and suppliers, you will help ensure information is accurate, up to date, and managed efficiently while providing excellent administrative support across a range of business activities.
Key Responsibilities
- Monitor and manage contract renewal schedules, ensuring timely communication with relevant customers and stakeholders
- Administer contract documentation, including processing extensions and preparing agreements using approved templates
- Maintain CRM systems and databases, ensuring records are accurate, complete, and up to date
- Coordinate communications with internal and external stakeholders, responding to enquiries and providing administrative support
- Build and maintain positive working relationships with customers, suppliers, and colleagues
- Collect, manage, analyse, and present data as required
- Validate and reconcile information against internal records, ensuring accuracy and consistency
- Maintain pricing files, catalogues, and other business-critical documentation
- Prepare reports, correspondence, and other documentation with a high degree of accuracy
- Provide general administrative support to the team and wider business when required
- Ensure company processes, procedures, and quality standards are followed
- Support continuous improvement initiatives by identifying opportunities to enhance administrative processes and efficiency
- Develop a thorough understanding of team processes and systems to provide effective support
- Assist in maintaining positive customer and supplier relationships through professional and timely communication

Skills & Experience
- Strong administrative experience within a busy office environment
- Exceptional attention to detail and accuracy
- Excellent organisational and time management skills
- Strong written and verbal communication skills
- Good IT skills, including Microsoft Office applications
- Strong Microsoft Excel skills would be advantageous
- Experience maintaining databases, systems, or CRM platforms
- Experience managing data, records, and documentation accurately
- GCSEs (or equivalent) including English and Maths
- Customer service experience
- Full UK driving licence desirable
